How to configure data refresh in PowerBI

One of the cool things about PowerBI, is that you can issue a report to a team member and it is regularly kept up to date - as long as you enable the refresh.

This is relatively easy to enable in your PowerBI account.

Applies to:

  • Dynamics 365 On-Prem

  • Dynamics 365 On-line

  • PowerBI


Step 1 - Publish the Report

The report needs to be published within PowerBI. So if you have built the report inside the desktop editor, you will need to connect to the PowerBI site and publish the report.

  • Click the File menu

  • Select Publish

  • Select the Workspace to publish to (you may see some Teams work spaces as well as your own)

  • Click Publish

Step 2 - Configure the datasource access

The datasource will need credentials to ensure that it can connect to your data.

Navigate to the Settings area of the dataset by selecting DATASETS, locating the dataset for your report and selecting the SETTINGS option.

Select the DATA SOURCE CREDENTIALS link and verify that it has credentials for this report.

Step 3 - Configure the automatic refresh

While still in the SETTINGS screen, scroll down further to the Refresh Schedule and expand that option.

You can then select the schedule of when you’d like the data to be refreshed, by adding timeslots for the auto-refresh. You’ll be limited to selecting the top and bottom of the hour for the minutes.

Add an email address if you’d like to know when the refresh fails and hit APPLY to save that schedule..

NOTE: depending on which PowerBI plan you have, will determine how many refreshes you can do. The basic limit is 8 refreshes per day. Larger plans have more refresh capacity.
